Salary: Up to $80,000 annually

We are seeking a highly organized, proactive QHSE Administrative Specialist / Collections professional to provide day-to-day administrative support to the Quality, Health, Safety & Environmental (QHSE) function while assisting with customer collections and account follow-up.
This is a blended role designed for someone who is equally comfortable managing administrative details and communicating professionally with customers regarding outstanding balances. The ideal candidate is a self-starter who requires minimal supervision, follows through consistently, communicates diplomatically, and takes ownership of assigned responsibilities.
While previous QHSE or industry-specific experience is helpful, it is not required. We are open to candidates from construction, industrial services, transportation, environmental services, manufacturing, utilities, or other adjacent industries. Culture fit, professionalism, initiative, and administrative discipline will be weighted just as heavily as direct industry experience.

Key Responsibilities
QHSE Administrative Support
Provide administrative and organizational support to the QHSE team and department leadership.
Maintain QHSE files, records, reports, spreadsheets, logs, and other departmental documentation.
Assist with scheduling, coordination, data entry, document preparation, and general departmental correspondence.
Track outstanding documentation, action items, and administrative requirements and follow through to completion.
Support the preparation and organization of information needed for meetings, audits, training, reporting, and other QHSE activities.
Maintain accurate and confidential records in accordance with company procedures.
Assist with special projects and other administrative assignments as needed.
Identify administrative needs and take initiative rather than waiting for continual direction.
Collections Support
Conduct professional and courteous follow-up with customers regarding outstanding invoices and account balances.
Make outbound collection calls and send appropriate follow-up correspondence.
Maintain accurate documentation of collection activities, customer commitments, and account status.
Work collaboratively with internal departments to research and help resolve billing or payment discrepancies.
Follow up consistently on outstanding items while maintaining a diplomatic and customer-focused approach.
Escalate unresolved or sensitive collection matters to the appropriate team member when necessary.
What We're Looking For
Previous experience in administrative support, collections, accounts receivable, office coordination, or a similar professional environment.
Strong administrative, organizational, and follow-through skills.
Professional and diplomatic telephone presence, particularly when discussing outstanding balances.
Ability to be persistent and results-oriented without compromising customer relationships.
Demonstrated ability to work independently with minimal supervision.
Strong attention to detail and commitment to maintaining accurate records.
Ability to prioritize multiple responsibilities and manage deadlines effectively.
Strong written and verbal communication skills.
Comfortable working with Microsoft Office applications and learning internal business systems.
Dependable, professional, collaborative, and willing to support the broader needs of the team.
Preferred Qualifications
Experience supporting QHSE, safety, environmental, construction, industrial, transportation, utilities, or field-service operations is a plus but not required.
Previous collections, accounts receivable, billing, or customer account follow-up experience is preferred.
Experience maintaining documentation, reports, spreadsheets, compliance records, or other detail-oriented administrative materials.

Work Location
